Entertainment Requirements

Penn State requires entertainment suppliers in the following categories to meet the requirements outlined below and maintains an Entertainment Vendor List of those entertainment suppliers meeting the requirements for authorized use. 

For an entertainment supplier to be placed on the Entertainment Vendor List, the following information must be provided by the entertainment supplier to [email protected]

  1. A Certificate of Insurance must be issued as follows: 
    • The Certificate Holder must be shown as: 
    • The Pennsylvania State University 
    • 101 Procurement Services 
    • University Park, PA 16802 
  2. The Certificate of Insurance must evidence not less than $1,000,000 per occurrence of General Liability, written on an occurrence basis, including contractual liability. 
  3. The Pennsylvania State University and All Recognized Student Organizations of The Pennsylvania State University must be named as an Additional Insured under the general liability insurance and evidenced on the certificate. 
  4. Statutory Workers’ Compensation Insurance must be evidenced. If you are not required to carry workers’ compensation, please submit a signed workers’ compensation Exemption Certification (PDF) along with your certificate. 
  5. The insured or its insurance carrier must provide a thirty (30) day cancellation notice. 

An annual Registration with the Pennsylvania Department of Agriculture for all amusement rides and amusement attractions that operate in Pennsylvania. All suppliers in the “Amusement Rides and Attractions” category on the Entertainment Vendor List must provide their current proof of registration. If the supplier has no amusement rides and/or amusement attractions requiring such registration, the Amusement Rides/Attractions Exemption Certification (PDF) must be completed, signed, and returned to [email protected]

Notes

  1. Entertainment Vendors that have met our requirements will be listed on the Entertainment Vendor List. All locations of The Pennsylvania State University utilize this list. 
  2. To remain on this list, an updated Certificate of Insurance must be supplied to the Office of Central Procurement by emailing [email protected] whenever the insurance is renewed, which normally occurs on an annual basis. If this insurance certificate is not received before the expiration date, the supplier will fall off this list and cannot be used until an updated certificate is received. The University will not contact the supplier before this occurs. Any notice from the Insurance Company that the insured’s insurance has been canceled for any reason will result in the deletion from the listing. 
  3. To remain on this list, Entertainment Vendors with amusement rides and/or amusement attractions must supply an updated proof of registration with the Pennsylvania Department of Agriculture to the Office of Central Procurement by emailing [email protected]. If this proof of registration is not received before the expiration date of the previously submitted registration, the supplier cannot be used until a current registration is received. Any notice from the Pennsylvania Department of Agriculture that the supplier’s registration has been canceled for any reason will result in the deletion from the listing. 
  4. Entertainment supplier must provide staffing to manage all amusement rides and inflatables, including setting up, operating, and supervising the rides. 
  5. The University reserves the right at all times to accept or reject the insurance company(s) shown on the certificate and to delete any listed supplier at any time. In addition, the supplier is prohibited from offering any of the services outlined on the prohibited activities list
