PSUbuy replaces Shop OnLion
Penn State is modernizing its procurement processes with the implementation of PSUbuy, a new procure-to-pay system slated to replace Shop OnLion by the end of fall 2024. This transition is a key component of the University's Procurement Strategic Transformation initiative.
Currently in the design phase, the project involves close collaboration between Central Procurement, IT professionals, business area representatives, and Deloitte consultants. The forthcoming SAP Ariba platform will seamlessly integrate with Maximo, the Physical Plant's current application, and SIMBA, the foundational software consolidating financial data.
The PSUbuy user interface aims to mirror the intuitive experience of popular online marketplaces like Amazon, providing a user-friendly environment for processing purchase orders and sourcing goods and services. This modernization is expected to enhance operational efficiency through the following features:
- Simplified navigation with a unified window and customizable dashboard
- Direct processing of purchase order changes within the system
- Ability to attach goods confirmations to specific line items
- Real-time notifications for shoppers regarding shipments, invoices, and payments
- Automated alerts to suppliers when discrepancies arise between invoices and purchase orders
To ensure effective preparation and a smooth transition, assessment surveys will be distributed at key project milestones, and business area focus groups will be established to share project details and gather feedback.
