Coverage

Maintain current, valid insurance coverage to qualify for University use and appear on the Accepted Bus Charter List. Provide documentation confirming compliance with the following minimum coverage levels:

• Commercial General Liability: At least $1,000,000 per occurrence, written on an occurrence basis, include contractual liability.  
• Commercial Auto Liability: At least $5,000,000 per occurrence.  
• Statutory Workers’ Compensation and Employer’s Liability: At least $500,000 for each coverage type.

General Conditions

• Apply coverage to all University locations and operations.
• Avoid submitting event‑specific or date‑limited insurance certificates.
• Compliance with Motorcoach Regulations: Follow requirements in the Legal Notice for Motorcoach Operations.  Central Procurement conducts a review on the Federal SAFER website.
• Attach the correct endorsement when the ACORD form includes IMPORTANT and DISCLAIMER language.
• By submitting an insurance certificate to appear on the Accepted Bus Charter List, Supplier acknowledges reading Policy AD72 Reporting Suspected Child Abuse and ensures all Company Representatives (employees, subcontractor employees, and volunteers) working on University premises understand the reporting requirements. These requirements mandate that any Company Representative with a reasonable suspicion of child abuse, as defined by Pennsylvania law, report the concern according to the steps as outlined in the policy. 

Certificate Holder

• Include the following on a Certificate of Insurance (COI):
• Show 30 days’ notice of cancellation
• List The Pennsylvania State University as an Additional Insured,

Email the Certificate of Insurance to [email protected].

Payment Process

Register as a Penn State supplier to enable payment processing. 

Approved charter bus suppliers complete the following actions to remain active:

• Maintain all required insurance coverage continuously.
• Submit an updated COI every year at renewal.
• Provide complete and accurate insurance documentation.

The University removes suppliers from the bus charter accepted list when insurance coverage expires or is canceled.
